What is LicenceWatch?

LicenceWatch Australia provides ongoing driver licence verification and monthly monitoring for Australian businesses. We help organisations maintain consistent checks, clear reporting, and an audit-friendly record of compliance.

Do drivers need to provide consent?

Yes. Drivers provide consent during onboarding via our online form.
The form includes two required tick boxes:

  1. consent to ongoing licence monitoring on behalf of the employer, and

  2. acknowledgement of how licence information will be handled and used for verification and compliance purposes.

What information do drivers need to provide during onboarding?

Typically, drivers provide their licence details and confirm consent. Onboarding may also include document upload (e.g., a photo of the licence).

What do you check each month?

We re-check driver licence information monthly, including licence status and expiry dates.
Your monthly report provides a clear record of checks completed for your organisation.

How often are checks completed?

Checks are completed on a monthly cycle for each active driver in your register.

What happens if a driver is identified as non-compliant?

If a driver is identified as non-compliant at the time of a scheduled check, we notify your nominated contact. Your organisation can then follow its internal process to manage next steps.

What do I receive each month?

You receive:

  • a monthly compliance report, and

  • notifications (alerts) where required if a driver is identified as non-compliant at a scheduled check.

How do starters and leavers work?

Workforces change — people start and leave throughout the month. To keep your monitoring accurate, your nominated contact notifies us of any:

  • new starters who need to be onboarded, and

  • leavers (or drivers who no longer drive for work)

We also request a monthly confirmation to ensure your driver register remains current.

What are the cut-off dates for changes to be included?

To keep reporting and billing accurate:

  • New starters: submit by the 15th of the month to be included in that month’s monitoring cycle.

  • Leavers: submit by the 28th of the prior month to be removed for the following month’s billing.

Leavers advised after the cut-off may still be included in the next month due to reporting and billing cycles.

How is pricing structured?

Pricing is:

  • a fixed per-driver monthly fee, plus

  • a monthly administration fee (per organisation)

Pricing varies depending on driver numbers and reporting requirements. We provide tailored quotes based on your needs.

Do you offer month-to-month and 12-month options?

Yes.

  • Month-to-month (no lock-in) is available for flexibility.

  • A 12-month agreement is available for businesses wanting price certainty (discounted pricing may apply).

When do you invoice?

Invoices are issued from the 28th of each month and are payable within 7 days of the invoice date.

How is the per-driver fee calculated if driver numbers change?

Per-driver fees are billed based on the number of active drivers on the invoice issue date, using the driver register on file. This is why it’s important to notify starters and leavers by the cut-off dates above.

Is my data secure?

We use secure systems and access controls to protect personal information. Access is restricted to authorised users only, and information is handled for licence verification and compliance purposes in line with applicable Australian privacy laws.
