At LicenceWatch Australia Pty Ltd, we take privacy and data security seriously.

We collect and manage driver licence information to support businesses with ongoing driver licence verification and monitoring. We only collect what is necessary to provide our service, and we handle it responsibly.

What information we collect

Depending on your organisation’s requirements, we may collect:

  • Driver name and contact details

  • Employer / organisation details

  • Driver licence details (e.g. state/territory, licence number, expiry date)

  • Licence images or documents

  • Consent records and declarations

  • Licence check history, reports and alerts issued

Why we collect it

We collect and use this information to:

  • Verify driver licence details and monitor licence status as part of the LicenceWatch service

  • Provide compliance reporting to the employer/organisation

  • Maintain audit-friendly records of checks and consent

  • Respond to support requests related to licence monitoring and reporting

How we collect consent

Drivers provide consent during onboarding via our online form.

As part of onboarding, drivers must complete two required acknowledgements:

  1. Driver Licence Monitoring Consent — authorising LicenceWatch Australia Pty Ltd to collect, use and disclose driver licence information for verification and ongoing monitoring on behalf of the employer named in the form.

  2. Privacy Acknowledgement — confirming the driver understands their licence information will be handled securely and used only for licence verification, monitoring and compliance-related reporting in line with applicable Australian privacy laws and this policy.

Where used, ticking the consent box is treated as the driver’s electronic signature for the purpose of the authorisation.

How we store and protect information

We use secure systems and access controls designed to protect information from unauthorised access, misuse, loss or disclosure.

Our safeguards include (as applicable):

  • Restricted access for authorised users only

  • Role-based permissions (access limited to what users need)

  • Secure handling procedures for personal information

  • Audit-friendly recordkeeping

  • Strong password practices and multi-factor authentication where available

  • Regular review of access and internal processes

Who we share information with

We do not sell personal information.

We only share information:

  • With the employer/organisation’s authorised contacts for compliance reporting and operational needs

  • With trusted service providers that support delivery of LicenceWatch (where applicable), under confidentiality and security obligations

  • Where required or authorised by law

Data accuracy

Drivers and employers are responsible for providing accurate information during onboarding. If details change (e.g. name, licence details, employment status), the employer should notify LicenceWatch so records can be kept up to date.

How long we keep records

We retain consent records, licence check history, and compliance reports for as long as reasonably required to provide the service and meet operational, audit and legal obligations.

If an employer stops using LicenceWatch, we can confirm retention and deletion options in line with applicable requirements.

Withdrawing consent

A driver may withdraw consent in writing. Where consent is withdrawn, ongoing monitoring will cease for that driver (subject to any legal or contractual obligations held by the employer).

Drivers should submit withdrawal requests via their employer so employment and driving eligibility processes can be managed appropriately.
