Driver Licence Monitoring & Pricing

LicenceWatch provides ongoing driver licence monitoring for Australian businesses where staff drive as part of their role.

Once your organisation and drivers are onboarded, we manage the agreed monitoring cycle and provide clear reporting to your nominated contact.

What’s included

Your LicenceWatch service includes:

  • Scheduled driver licence status checks

Pricing

Pricing is made up of:

  • A standard fee per active driver

  • An account administration and reporting fee

  • A one-off initial onboarding fee

Your administration, reporting and onboarding fees are based on the size of your active driver group and the monitoring structure agreed for your organisation.

We provide a clear tailored quote before you commence, so you know exactly what your costs will be.

Monitoring options

For most organisations, LicenceWatch provides a monthly monitoring and reporting cycle.

For larger workforces, an agreed quarterly monitoring structure may be available, with drivers scheduled across the quarter to make ongoing monitoring practical and manageable.

Your quote and service agreement will clearly outline the monitoring and reporting structure applicable to your organisation.

How it works

  1. We set up your organisation and confirm your nominated contact.

  2. Drivers complete onboarding via the online form and provide the required consent.

  3. We add drivers to the agreed monitoring cycle and commence scheduled licence checks.

  4. You receive compliance reporting for the agreed reporting period, with alerts if a driver is identified as non-compliant at the time of a scheduled check.

Keeping your driver list up to date

Your nominated contact provides LicenceWatch with an updated driver list by the 5th of each month.

The update should include:

  • new drivers to be added; and

  • drivers who have left or no longer require monitoring.

Changes received by the 5th will generally take effect from the following monitoring and billing period.

Updates received after the cut-off may be carried over to the next applicable cycle.

Driver changes during your agreement

Drivers can be added or removed throughout your 12-month agreement.

An additional one-off onboarding fee applies to new drivers added after your organisation’s initial onboarding has been completed.

There is no separate fee for removing a driver.

Driver changes take effect in line with the applicable monitoring and billing cycle.

Reporting & recordkeeping

For organisations on monthly monitoring, reports are issued by the 15th of each month, covering the previous month’s monitoring period.

For organisations operating under an agreed quarterly structure, reporting is provided in accordance with the monitoring schedule outlined in your service agreement.

If a driver is identified as non-compliant during a scheduled check, your nominated contact will be notified in accordance with the agreed process.

Once a report has been issued, it is the organisation’s responsibility to download, store and retain the report for its own compliance, audit and recordkeeping requirements.

LicenceWatch does not act as your organisation’s long-term document archive.

Billing

LicenceWatch operates under a 12-month service agreement.

Upon acceptance of the agreement, the one-off initial onboarding fee is invoiced and payable within 5 business days.

The initial onboarding period allows time for organisation setup, driver onboarding and consent collection before monitoring begins.

Once monitoring commences, ongoing service fees are invoiced in advance at the beginning of each monitoring period.

For monthly monitoring, invoices are issued from the 1st of each month for that month’s monitoring and reporting cycle.

For agreed quarterly monitoring arrangements, invoices are issued from the 1st of the applicable monitoring month in accordance with the agreed quarterly schedule.

Ongoing invoices are payable within 5 business days.

Charges are based on the confirmed active driver register and the monitoring structure applicable to your organisation.
