Ongoing Driver Licence Monitoring

LicenceWatch provides ongoing driver licence verification and monitoring to support workplace safety, duty of care, and compliance for Australian businesses where staff drive as part of their role.

Drivers complete onboarding with consent, we run monthly checks, and you receive clear reporting and alerts if a driver is identified as non-compliant at the time of a scheduled check.

What’s included

Your monitoring service includes:

  • Monthly driver licence status check (1 check per driver, per month)

  • Change alerts if a driver is identified as non-compliant at the time of a scheduled check

  • Monthly compliance report (clear and easy to file)

  • Secure recordkeeping to support audit and duty-of-care documentation

  • Onboarding support to help you get set up correctly from the start

How it works

  1. We set up your organisation and confirm your nominated contact.

  2. Drivers complete onboarding via the online form (including required consent tick boxes).

  3. We verify details and re-check monthly (status and expiry).

  4. You receive monthly reporting, with alerts if a driver is identified as non-compliant at the time of a scheduled check.

Pricing

Pricing is structured as:

  • Fixed cost per driver, per month, plus

  • Monthly administration fee (per organisation)

Pricing varies depending on:

  • Total number of drivers

  • Reporting requirements (single report vs multi-site/business unit reporting)

  • Level of onboarding support required

To ensure the right fit, we provide tailored quotes based on your organisation’s needs.

To request a quote, please include:

  • Approximate number of drivers

  • States/territories your drivers are licensed in

  • Whether you need reporting by site/business unit

  • Your preferred payment option (month-to-month or 12-month agreement)

Payment options

Choose the option that suits your business:

  • Month-to-month (no lock-in): flexible ongoing service

  • 12-month agreement: discounted pricing available for businesses wanting certainty and budget stability

Billing & payment

  • Monitoring services are invoiced monthly and payable within 7 days of invoice.

  • Invoices are issued from the 28th of each month.

Driver numbers: Per-driver fees are billed based on the number of active drivers on the invoice issue date. Accurate starters/leavers must be advised to keep the driver register current.

Keeping your driver list up to date (starters & leavers)

Staff change happens — people start, finish, and move roles. To keep monitoring and reporting accurate, your nominated contact simply notifies LicenceWatch of:

  • Drivers who have left (or no longer drive for work), and

  • New drivers who need to be onboarded

New starters

  • New drivers must be submitted by the 15th of the month to be included in that month’s monitoring cycle and reporting (where applicable).

Leavers / drivers no longer driving for work

  • If a driver leaves mid-month (or no longer drives for work) they may still appear in that month’s monitoring/reporting, as checks and reporting are prepared in advance.

  • To ensure a driver is removed and not billed for the following month, leavers must be submitted by the 28th of the prior month.

This helps ensure reporting is accurate and billing reflects active drivers.
